Cash on delivery charges are the fees for collecting the buyer's money at delivery. They sit alongside the freight bill. The COD fee your shop adds at checkout is a separate decision: it does not tell you what the courier will deduct.
Calculate the collection fee from your courier's rate card for the chosen service and shipment value. Start with the collection formula on your rate card, then check forward freight, potential return freight and the remittance record before deciding what a COD order earns.
What does a cash on delivery fee cover?
Keep a separate column for each charge. A shopper may see one combined delivery charge while your accounts team receives several deductions. Combining them makes it difficult to spot whether a change came from collection pricing, a heavier box or an unsuccessful delivery.
| Line on the working sheet | What to check | Where to verify it |
|---|---|---|
| Forward freight | Cost to send the parcel out | Courier quote and shipment invoice |
| COD collection | Fixed fee and percentage rule | COD section of the rate card |
| RTO freight | Cost if an undelivered parcel comes back | Return-to-origin terms |
| Optional service | Any agreed paid service attached to the order | Service agreement and invoice |
| Tax | Whether the quoted amount includes tax | Tax invoice |
| Buyer COD fee | What your checkout charged the customer | Order total and customer receipt |
Shiprocket describes forward and RTO charges as different journey costs. A failed delivery can therefore carry a return leg as well as the original dispatch cost. Use the rate for your chosen service rather than assuming the two legs have identical prices.
Delhivery's Rate Card guide, updated 20 Dec 2024 and checked 06 Nov 2026, also lists cash handling as an additional COD cost. Its pricing table separates weight slab, zone, shipment type and transport mode. Compare those fields before comparing collection fees across providers.
Do not classify the order's entire value as a shipping expense when it returns. There is no completed sale, but the product may still be recoverable. Record the freight loss, packaging used and any actual product damage separately from the revenue that never arrived.
How are COD charges calculated?
Shiprocket's COD charges help page says its calculation uses the higher of a fixed collection charge and a percentage of order value. The page was updated 28 Aug 2024 and checked 06 Nov 2026.
The formula is:
Collection fee = higher of the fixed charge and the percentage charge.
The page's worked example uses a ₹36 fixed fee and a 2.5% rate on a ₹750 shipment. The percentage comes to ₹18.75, so the fixed fee wins. Extending the same inputs shows where the percentage overtakes the fixed fee:
| Illustrative order value | Percentage at 2.5% | Higher amount applied |
|---|---|---|
| ₹750 | ₹18.75 | ₹36 |
| ₹1,440 | ₹36 | ₹36 |
| ₹2,000 | ₹50 | ₹50 |
At ₹1,440 the two amounts meet. Below that value the fixed fee determines the result; above it the percentage does. Add freight and applicable invoice items afterwards. Do not add the fixed fee and percentage together unless your actual contract explicitly uses that different rule.
How to check the fee before dispatch
A useful quote starts with the parcel you will actually send. Measuring the product without its packaging produces a poor comparison. Photograph a packed sample and keep the measurements with the quote so another person can reproduce the result.
Use this checking sequence:
- Write down the pickup and destination pincodes, the order value and the payment mode.
- Weigh the complete package and record its external dimensions.
- Request a rate for that exact courier service. Save the date and the applicable contract or plan.
- Expand the quote into freight and collection fees. Check what is included in the displayed total.
- Save the RTO terms and tax treatment with the quote. Ask about any optional service you have enabled.
- Compare the final invoice with the saved estimate after the shipment has reached its terminal status.
For the broader freight comparison use our shipping rates guide. It separates the plan fee from the shipment quote, which matters when a lower freight rate requires a subscription.
Do the check on a common basket and a high-value basket. A percentage fee can make the second order behave differently. Also test a common multi-item order: its larger packaging can change freight while leaving the collection rule unchanged.
Worked example: what remains from a delivered COD order
Worked example with assumed inputs, excluding tax:
Assume collected revenue of ₹1,200, product cost of ₹480, forward freight of ₹70, collection fee of ₹36 and packaging of ₹20. These costs total ₹606. The contribution before advertising and fixed overhead is therefore ₹594.
Set the acquisition budget from the whole dispatch cohort. Cancelled and returned orders also consume advertising spend. Allocate that spend across the cohort when assessing delivered contribution.
For a returned parcel, use the same ₹70 outward freight, ₹60 return freight and ₹20 packaging loss. If the product is recovered intact, those costs total ₹150. Do not subtract the whole product cost again merely because the parcel travelled home. If inspection finds damage, record the actual write-off then.
Multiply the ₹594 delivered contribution and ₹150 return loss by their respective shipment counts. The RTO reduction guide shows how to join those outcomes into a cohort worksheet.
Should the customer pay a COD charge?
Treat a checkout fee as an offer test. First establish what it is meant to cover. A small collection fee, a delivery deposit and a prepaid discount have different effects on the buyer's order total and your settlement records.
Write the proposed fee plainly wherever the customer chooses payment. Check that the final payable amount agrees with the confirmation and the label. If a checkout extension owns the fee, check how it behaves after a discount, an edited order and a partial cancellation.
Measure contribution from delivered orders against the comparable acquisition spend. A fall in COD share alone does not prove a win: buyers may have abandoned checkout rather than moved to prepaid. Record prepaid payments, total placed orders and delivered contribution together.
Keep the test understandable for support. The agent handling a refusal should be able to see whether the customer was shown the fee and what amount the courier was instructed to collect. A spreadsheet of planned charges will not settle a dispute if the order record says something else.
For prepaid fees, compare the dated provider tables in our payment gateway charges guide. Include those deductions when testing a COD-to-prepaid offer.
Does Shopify charge a transaction fee on COD?
Shopify treats COD as a manual payment method. Its manual payments documentation says manual payments are exempt from third-party transaction fees. This exemption concerns Shopify's transaction fee. It does not remove a courier's collection charge or the bill from an app you chose separately.
The same documentation says manually paid orders initially appear unpaid. Keep the storefront's payment status separate from the courier's delivery status and the bank receipt. A parcel marked delivered is evidence about delivery, while a remittance confirms the money transfer.
Before changing a payment status automatically, have the person who owns reconciliation agree what evidence is sufficient. Otherwise your support team may see an order marked paid while finance is still investigating a missing collection.
Reconcile COD collections by shipment
Create a working sheet that joins the order reference, airway bill, expected collection, final delivery status, courier deductions, remittance batch and bank credit. Restrict access to the people who need it. The public reporting version needs totals, not customer addresses or phone numbers.
Work the exceptions before trusting a weekly total:
- A delivered shipment with no collection entry needs a remittance check.
- A collection lower than the order's payable amount needs an order-edit or short-collection check.
- A deduction without a matching invoice line needs a billing query.
- A returned shipment carrying a delivered flag needs a status reconciliation.
Do not force unmatched money into a miscellaneous expense merely to close the sheet. Keep the outstanding amount and its owner visible until it is explained. That open list is also the right input when forecasting which COD cash is available for the next dispatch cycle.
When failed delivery is the cause, use the NDR management routine. It gives the order desk a way to record the buyer's response and hand a useful reattempt request to the courier.
Questions from the desk
What is a cash on delivery fee?
It is the charge for collecting the customer's payment on delivery. Keep the courier's collection fee separate from any COD fee your shop charges the buyer.
How is a COD charge calculated?
Check your contract. Shiprocket documents a fixed fee or a percentage of order value with the higher amount applied. The freight charge is separate.
Where do I find Shiprocket cash on delivery charges?
In the rate calculator enter the actual shipment details and choose COD. Inspect the courier's shipment-rate breakdown and confirm the terms in your account before booking.
Is there a Shopify cash on delivery transaction fee?
Shopify says manual payments such as COD are exempt from its third-party transaction fees. Courier collection fees and any separately contracted app fees can still apply.
